Using our Platforms

  • Tutorbird (TB): TB is our scheduling and invoicing platform. Parents and students each have a portal from where they can view/cancel (and sometimes schedule) sessions and review lesson notes. Parents can also manage invoices.

  • CustomCollegePlan (CCP): CCP is a college management system where applicants can explore colleges and keep track of their college list, test scores, application timeline, and application status. Parents use the same CCP login as their student. Each student in a family has their own login. Here is little video tour if you are curious!

  • Google Workspace: Students doing Development or Application work can find their personalized tracker, resume, and essays in Google Workspace.

Scheduling Sessions

  • All appointments will appear on the Tutorbird portal calendar.

  • Some instructors may offer students/parents the option to schedule themselves. You can do this by logging into your portal and selecting a “self-schedule” slot on your calendar. How to self-schedule and cancel on Tutorbird - Watch Video

  • Parents should let the instructor know if there are parameters around scheduling and/or if they do not want the student making appointments. 

  • AH&A sessions are 55-minutes, though Tutorbird reminders will list 60 minute sessions.

Canceling Sessions

  • Since a time commitment is made to you and is held exclusively for you, cancellations and re-scheduled sessions are subject to a full charge if not canceled via Tutorbird portal at least 24 hours in advance of the starting time. There are no exceptions to this policy regardless of the reason because we are contractually obligated to pay our instructors. Instructors are always willing to meet with parents or do any busy work for the student during the scheduled session time.

  • Please note that the system will bill any session canceled within 24 hours of the start time at the full rate. Please also note that canceling by email is not considered a cancelation. It must be done through the Tutorbird portal! To reschedule, reach out to your instructor or choose a time in the portal if that option is available.

Billing and Invoices

  • All clients are required to add a method of payment, but it will not be charged unless an invoice is unpaid for 30 days.

  • You may turn on auto invoicing in your portal and pay by credit card (4% fee) or bank transfer (1% fee). You may also pay manually by credit card or bank transfer.

  • We also accept Zelle, Venmo, and PayPal. These options also have fees unless you follow the directions below.

    • Venmo: @abigailhillman (Do not choose "purchases" or you will receive an additional bill for the 3% fee.) Last 4 digits: 8447.

    • PayPal: Abigail@abigailhillman.com (Choose "Friends & Family." Do not choose "For Goods & Services" or you will receive an addition bill for the 3% fee.)

    • Zelle: Abigail@abigailhillman.com (Zelle does not charge a transaction fee, but some banks and credit unions may charge for the service.)

  • Invoices are automatically generated by TutorBird every two weeks and are sent at approximately 8am EST every other Wednesday.

  • Invoices not paid after 30 days will be charged to the method on file.

  • Instructors and coaches love speaking with you about your student but will bill for calls over 15 minutes. You can always schedule a complimentary session with Jackie.
